Terms of service

The service
Workbay is workshop-management software sold to businesses for their employees’ use — it is not offered to consumers. A subscription covers one workshop. Standard includes four user licences — people who can sign in to the app; Premium includes as many as the workshop invites. Plans and what each includes are described on the pricing page, which forms part of these terms.
Free trial
Every new workshop gets fourteen days free, on the plan it chose, with no card taken. Three days before the trial ends we email the workshop’s administrator a link to add a card. If none is added, the subscription pauses at the end of the trial: nothing is charged, the workshop’s data stays readable and exportable, and adding a card later resumes it from that day. One trial per workshop.
Price and payment
Standard is €199 a month or €2,189 a year; Premium is €249 a month or €2,739 a year. Prices exclude VAT, which is added at the Irish standard rate — 23% at the date above — and shown separately on every invoice. If the rate changes, the ex-VAT price stays and the VAT line moves. Payment is by card or SEPA direct debit through Stripe, in advance for each month or year, from the day the trial ends. A VAT invoice issues with every charge. Yearly plans are paid for the year and are not refunded pro rata if cancelled early.
Changing plan
A workshop may switch between Standard and Premium, or between monthly and yearly, at any time from the billing portal. The difference is prorated to the day of the change. Moving from Premium to Standard while more than four people hold licences keeps the existing people signed in but prevents new invitations until the count is within the limit; Stripe payments and invoicing stop being available on Standard.
Cancelling
Cancel at any time from the billing portal, linked in every invoice email and from the billing page on this site. The subscription runs to the end of the period already paid for and no further charge is made. An administrator may also close the workshop from the app, which cancels the subscription immediately and deletes the workshop’s data; that is irreversible, and we say so before it happens.
If a subscription lapses
If a payment fails, or a trial ends without a card, the workshop keeps working in full for seven days while we email its administrator. After that, and after a cancellation takes effect, the workshop’s data stays readable and exportable in the app; what stops is taking on new work. We don’t hold your records hostage — a lapsed workshop can settle up from the emailed link and carry on where it left off.
Your customers’ payments
Card payments taken through Workbay — at the counter, by Tap to Pay, by transfer or direct debit — are made to the workshop’s own Stripe account. The workshop is the merchant of record to its customers, appears on their statements, and bears Stripe’s processing fees, refunds and chargebacks on those payments. Workbay currently adds no platform fee to them.
Your data
The workshop owns its records. We process them only to provide the service, as described in the privacy policy. Statutory obligations attached to inspection records — retention, production to an authority — remain the workshop’s.
Responsibility
Workbay records the work; it does not perform it. Judgements about a vehicle’s roadworthiness are made by the qualified people inspecting it, and passing or failing an item in Workbay is a record of that judgement, not a substitute for it. We provide the service with reasonable skill and care; our liability is capped at the fees paid in the twelve months before a claim, and nothing in these terms excludes liability that cannot lawfully be excluded.
Governing law
These terms are governed by the law of Ireland, and the Irish courts have jurisdiction.
